Where do I order selling documents? 

Document orders are placed through a third-party vendor online. These packages or individual requests can be ordered by clicking on the "get documents" tab on the Gassen website (www.gassen.com) There is a link on that page for CondoCerts. Or you can go to https://gassen.condocerts.com/resale/. Once you get to Condo Certs, you can place an order by Registering on CondoCerts. On Condo Certs there are many different packages you can choose from. The two most common packages are listed below. We recommend the Resale Disclosure Package. •Resale Disclosure: This package includes: Balance Sheet, Budgets, Certificate of Insurance, Current Unaudited Financial Documents. •Resale Disclosure Package: This package includes: Dues Letter, Balance Sheet, Articles of Incorporation, CCR/Declaration, budgets, Bylaws, Certificate of Insurance, Current Unaudited Financial Documents, Resolutions, Rules and Regulations.

How do I make payments online?

One Time Payments: To make a onetime payment, you will need to login to your Gassen Appfolio account by going to https://gassen.appfolio.com/connect/users/sign_in 1.To make a one-time payment. you are going to select pay now. 2.It will have you verify that you want to use the same payment method. You will select Continue if you do not want to make any changes to the payment method. 3.Once you have selected continue, you will go down to “how much do you want to pay” section. It should automatically have the dollar amount in there. If you would like to pay a different amount you can type that in. 4.Once you have the dollar amount inputted. You will scroll down and select Pay Now. Auto payments: To sign-up for our autopay, you will need to login to your Gassen Appfolio account by going to https://gassen.appfolio.com/connect/users/sign_in 1.Once you are logged in, you will select Payments from the menu on the left-hand side of the page. 2.Then you will select setup Autopay. 3.Then you are going to choose your payment method. a.You can choose to pay by E-Check, or by Credit/Debit Card (transaction fees apply when using a debit card, credit card and E-Check). 4.Once you have selected your payment method, you will input your payment information. 5.Once you have completed entering your payment information, you will select continue. 6.Then it is going have you verify the payment details. 7.You will need to give the payment a name. (Most homeowner’s just put HOA Fee or Association dues) 8.You have two (2) options when setting up Auto-Pay a.Fixed Amount: Allows you to choose the dollar amount you want to pay on the date of your choosing. (If your dues go up or there is a special assessment, you will need to login and make the changes) b.Pay Outstanding Balance in Full: will withdraw your entire balance amount on the date of your choosing, however, please be aware that this could include any fines, special assessments, insurance deductibles etc. if applicable. We highly recommend this as you don’t have to make any changes. 9.Once you have selected the amount you would like to pay, you are going to select the date you want your payment to pull on. We recommend having your payment pull before the late fee date, so no late fees are charged. 10.Once you have selected the date, you will press set up autopay

I want to login to my online account; I am not getting the email from the system when I request it?

To login to your Gassen online portal account on Appfolio, we need to have an email address linked to your account. Once we have your email address on file, we will send you an activation email. Within the email, there will be a blue “Activate Now” button. You will need to select the blue button. Once you have selected the blue activate button, you will need to select a password of your choice. Once you put in your password, you are now logged in.

How do I edit my payment method on my autopayment?

To edit you payment method, you will need to login to your Gassen Appfolio account by going to https://gassen.appfolio.com/connect/users/sign_in 1.Once you are logged in, you will go to the payments page (on the menu, on the left-hand side of the page) 2.Then you will need to go to the scheduled payments box 3.Once you are to the scheduled payments box, you are going to select edit 4.It will have you verify that you want to use the same payment method. You will select Create New Payment Method. 5.Then you will enter in your new payment information. then press Continue. 6.Once you have selected continue, you will select update. 7.Once you have selected update, it will give you a confirmation that the payment has been setup

How do I edit my dollar amount on my autopayment?

To edit your autopay, you will need to login to your Gassen Appfolio account by going to https://gassen.appfolio.com/connect/users/sign_in 1.Once you are logged in, you will go to the payments page (on the menu, on the left-hand side of the page) 2.Then you will need to go to the scheduled payments box 3.Once you are to the scheduled payments box, you are going to select edit 4.It will have you verify that you want to use the same payment method. a.You will select Continue if you do not want to make any changes to the payment method. 5.Once you have selected continue, you will go down to “how much do you want to pay” section. 6.Then you can select to pay balance in full or type in an amount that you want to pay each month. a.We recommend doing balance in full, so you do not need to make any changes to your payment again. 7.Once you have entered in this information, you will select update. 8.Once you have selected update, it will give you a confirmation that the payment has been setup and what day of the month it will pull.

Where do I mail my payment to?

If you are going to mail in a check, please mail your payment to C/O Gassen Company, PO BOX 98068, Phoenix, AZ 85038. Please be sure to include the property ID # and your account ID on the memo line on your payment. You will make your payment payable to your association.

How do I submit an architectural request and/or maintenance request?

All homeowners can submit architectural reviews and maintenance requests through their online portal. When a homeowner logs into their account, on the home page, they can select to submit an architectural review or request maintenance.

Architectural Review: •When a homeowner is submitting an architectural review, it will give them a brief description of all the information that they will need to submit. Homeowners can upload attachments and/or images. •Once the review has been submitted, the information is sent to the manager to review that all the proper information is included. •Once the manager has reviewed the information, they will send it to the Board of Directors for approval. The approval time frame varies depending on the Association’s Governing Documents. •Once the Board of Directors have reviewed the request, the Property Manager will send notification to the homeowner about their request.

Maintenance Requests: •When a homeowner is submitting a maintenance request, they will need to provide a description of what the maintenance request is. Homeowners can upload attachments and/or images. •Once a homeowner has submitted the request, it then sends an email confirmation to the manager. •Once the manager has received the information, they will log into the system to handle the maintenance request. •Once the manager has handled the request the homeowner will receive notification that the item has been addressed. •Each homeowner has a maintenance request log. This is where they can view any work orders that they have placed.

What does the Appfolio Mobile App offer? 

-Make payments, check your account status, update personal account records, submit maintenance requests, submit architectural reviews, find association documents and forms, view association events, find contact information for association management company

Where can I download the Appfolio Mobile App?

For Apple Products, download the iOS app from the app store. The app is orange and titled "Online Portal by Appfolio". Click install. Login to Appfolio as you normally would on a desktop. For Android or Google products, use Google Play to download the application.

"What is an HO-6 Policy and Do I Need It?"

The associations governing documents set the requirements for the association master policy coverage which in turn determines the coverage that a homeowner must carry. In the event of a claim, the board reserves the right to assess each homeowner a portion of the master deductible. Without adequate loss assessment coverage on your HO-6 policy, you may be required to pay this assessment out of pocket. Please contact your personal agent to verify that your HO-6 policy includes this important coverage. A HO-6 Policy adequately protects yourself from a special assessment due to wind or hail if the association were to file a claim. Proper coverage comes from your personal agent and without this coverage, you may be required to pay the assessment out of pocket. Most master policy insurance deductibles for wind and hail claims are based on apercentage of the building values which can result in special assessments for eachhomeowner in the thousands of dollars. It is critical for every HOA homeowner to beeducated on the importance of having the proper HO-6 policy
